To create an enterprise account, visit the AImyOrg homepage and click "Get Started." You'll be guided through creating your organization profile, setting up your first department, and inviting team members. Enterprise accounts include multi-tenant isolation, ensuring your data is completely separated from other organizations on the platform.

What are the system requirements?

AImyOrg is a cloud-based platform accessible from any modern web browser (Chrome, Firefox, Safari, Edge). We also offer a native mobile app available for iOS and Android. No software installation is required. For the best experience, we recommend using the latest version of your preferred browser.

How do I invite team members to my organization?

As an administrator, navigate to the Team Members section from your dashboard. Click "Invite Member" and enter their email address along with their assigned role (Admin, Manager, or Member). They'll receive an invitation email with a link to join your organization. You can also set department assignments and permissions during the invitation process.

Can I try AImyOrg for free?

Yes! Our Starter plan is completely free and includes up to 3 AI agents and 5 team members. The Professional plan starts at $49/month (or $470/year with 20% savings) and includes up to 25 agents, 50 users, and priority support. What can AI agents do in my organization?

AI agents can automate a wide range of tasks including drafting documents, analyzing data, summarizing reports, answering questions from your knowledge base, routing tasks to the right team members, generating code, creating project plans, and more. Each agent can be customized with specific capabilities, permissions, and access to relevant knowledge bases.

How do I create and configure a new AI agent?

Navigate to the Agents section and click "Create Agent." You'll define the agent's name, role, department assignment, and capabilities. You can configure its system prompt to set behavior guidelines, connect it to relevant knowledge bases, and set permission levels for what data and actions it can access. Agents can be tested in a sandbox before deploying to your team.

Is my data safe when processed by AI agents?

Absolutely. Your enterprise data is processed within your isolated tenant environment and is never used to train or improve AI models. All data is encrypted in transit (TLS 1.3) and at rest (AES-256). AI agents only have access to the data and knowledge bases you explicitly authorize. For details, see our Privacy Policy.

Tasks & Workflows

How does task routing work?

When you create a task, AImyOrg's smart routing system analyzes the task requirements and automatically assigns it to the most appropriate AI agent or team member. Routing decisions consider agent capabilities, current workload, department assignment, and priority levels. You can also manually assign tasks or set up custom routing rules.

Plan execution runs entirely in the background on the server. Once you approve a plan, agent steps execute automatically one by one — even if you close the app. The task detail screen polls every 3 seconds during execution to show near real-time progress updates.

What are approval workflows?

Approval workflows enable human-in-the-loop oversight of AI agent actions. When an AI agent completes a task that requires review, it's sent to the designated approver (manager or admin) who can approve, reject, or request revisions. This ensures quality control and compliance while still benefiting from AI automation speed.

Can I set task priorities and deadlines?

Yes, every task supports priority levels (Critical, High, Medium, Low) and optional deadlines. Tasks are processed according to their priority, and you'll receive notifications when deadlines are approaching or if SLA thresholds are at risk. You can also set up automated escalation rules for overdue tasks.

How are the dashboard metrics calculated?

The dashboard displays several key metrics to help you monitor your organization's performance:

  • AI Employees: The number of active AI agents configured in your organization.
  • Human Employees: The number of team members in your organization.
  • AI Completed: The total number of plan steps completed by AI agents across all tasks (both active and archived).
  • Team Completed: The total number of plan steps completed by human team members across all tasks. This count excludes approval and review steps — only actual work performed by your team is counted.
  • Tasks Today: The number of tasks created on the current day.
  • Approvals: The number of tasks currently awaiting approval from a manager or admin.
  • SLA Performance: Shows the percentage of tasks completed on time, the number of tasks at risk of missing their deadline, and the number of tasks that have breached their deadline.

How do task due date reminders work?

AImyOrg automatically sends email reminders for tasks approaching or past their due date. The number of reminders per task is configurable by enterprise admins (default: 3, range: 0-50). Setting the limit to 0 disables reminders entirely. Reminders are tracked per task in the database to prevent duplicate emails, even after server restarts. Enterprise admins can adjust this setting from the task reminder configuration screen.

Integrations

Which third-party tools can I connect?

AImyOrg integrates with 13+ popular platforms including Jira, Slack, GitHub, Google Workspace, Microsoft Teams, Salesforce, HubSpot, Confluence, Notion, Linear, Asana, Trello, and Zapier. Our integration framework allows AI agents to automatically read from and act on connected tools, streamlining your workflows.

How do I set up an integration?

Go to the Integrations page from your dashboard and select the tool you want to connect. Most integrations use OAuth for secure authentication, so you'll simply click "Connect" and authorize access through the third-party service. Once connected, you can configure which data to sync and which AI agents have access to the integration.

Can I build custom integrations?

Enterprise plan customers have access to our API and webhook framework, allowing you to build custom integrations with any system. Our REST API supports all platform operations, and webhooks enable real-time event notifications. Comprehensive API documentation and SDKs are available for popular programming languages.

Knowledge Base

What file types can I upload to the knowledge base?

The knowledge base supports a wide range of file types including PDF, DOCX, TXT, Markdown, CSV, XLSX, and HTML. You can also add content by pasting text directly or connecting to external sources like Confluence, Notion, or Google Drive. Files are automatically processed, indexed, and made searchable by your AI agents.

How do AI agents use the knowledge base?

AI agents use retrieval-augmented generation (RAG) to search your knowledge base and incorporate relevant information into their responses and task execution. You can control which knowledge bases each agent has access to, ensuring agents only reference approved information. Knowledge base content is re-indexed automatically when updated.

Can I organize knowledge into different collections?

Yes, you can create multiple knowledge base collections organized by department, project, or topic. Each collection can have its own access controls, ensuring that sensitive information is only available to authorized agents and team members. Collections can also be shared across departments when needed.

Copilot

What is the Copilot?

The Copilot is your AI-powered assistant with full access to your organization's context — tasks, agents, team members, org structure, integrations, and knowledge base. Ask questions, get status updates, brainstorm ideas, or request help with anything related to your work. Conversations are saved and can be renamed or deleted. Responses stream in real time.

What information does the Copilot have access to?

The Copilot has comprehensive context including all your tasks, AI agent details, team members and roles, organizational structure, active integrations, and your knowledge base. It uses vector search to find the most relevant knowledge base documents for your questions, providing accurate, context-aware responses.

Does the Copilot remember previous conversations?

Yes. The Copilot maintains conversation history and also has a long-term memory system. Key facts, preferences, and patterns from your conversations are automatically extracted and stored. These memories persist across sessions and help the Copilot provide increasingly personalized and relevant responses over time.

Agent Memory

What is Agent Memory?

Agent Memory gives AI agents the ability to remember important information across conversations and tasks. Memories are automatically extracted from Copilot conversations and categorized as facts, preferences, patterns, or insights. This helps agents provide more consistent and personalized responses over time.

How is Agent Memory managed?

Enterprise administrators can enable or disable the memory system and configure retention periods (default: 90 days). Expired memories are automatically cleaned up every 6 hours. Users can view their stored memories and delete individual entries. Super admins can manage memory settings per enterprise, view statistics, and perform bulk operations from the admin dashboard.

WhatsApp Integration

How does WhatsApp integration work?

AImyOrg integrates with Meta's WhatsApp Cloud API, allowing you to interact with the platform directly through WhatsApp. You can create tasks, ask the Copilot questions, check task statuses, and have general conversations — all from your WhatsApp app. AI-powered intent classification automatically routes your message to the right action.

How do I connect my WhatsApp number?

Navigate to your profile settings and enter your WhatsApp phone number. You'll receive a 6-digit verification code via WhatsApp to confirm the link. Once verified, you can start sending messages to the AImyOrg bot. If the verification message doesn't arrive, your administrator can provide the code manually from the user management screen.

What can I do via WhatsApp?

You can create tasks by describing them in natural language (the system will intelligently match assignee names), ask the Copilot any question about your work, check the status of your recent tasks, and have general conversations. You'll also receive WhatsApp notifications for task assignments, approvals needed, and feedback requests.

Webhooks & Automation

What are webhooks and how do they work?

Webhooks allow external systems (like GitHub, CI/CD pipelines, or monitoring tools) to send real-time events to AImyOrg. When an event arrives, it's logged, a notification is created, and a task is automatically generated for the assigned AI agent. Each webhook has a unique URL with a security token, and you can filter by event type to control which events trigger actions.

How do I create a webhook?

Navigate to the Webhooks section from your agent's detail page. Click "Create Webhook" and configure the name, optional event type filter, and assign it to an AI agent. You'll receive a unique URL that external systems can POST events to. You can test the webhook directly from the management interface to verify everything is working correctly.

Permissions & Access Control

What roles are available?

AImyOrg has four roles with hierarchical permissions: Member (tasks, Copilot, knowledge base, integrations, agent memory, WhatsApp, meetings, support, and more), Manager (same defaults as Member), Enterprise Admin (full organization management including agents, members, organization structure, settings, announcements, and per-user permissions), and Super Admin (complete platform control). Each higher role inherits all permissions from the roles below it. The platform supports 34 granular permissions across 16 categories.

Can I customize permissions per user?

Yes. Enterprise Admins can set per-user permission overrides, granting or revoking any of the 34 available permissions across 16 categories (Tasks, AI Agents, Team, Organization, Knowledge Base, Integrations, Settings, Copilot, Agent Memory, WhatsApp, Communication Hub, Meetings, Support, Announcements, Notifications, Audit Logs, and Platform Admin). Permission overrides are enforced end-to-end — both on the server (API endpoints reject unauthorized requests) and in the app (add, edit, and delete buttons are automatically hidden if the user doesn't have the required permission). This allows fine-grained control — for example, revoking Copilot access from a specific member, or granting a manager the ability to manage AI agents.

What is the audit log?

The audit log provides a comprehensive record of all system events within your organization. It tracks webhook activity, WhatsApp messages, scheduled task executions, background plan execution, and AI processing calls. Each entry includes detailed metadata such as timestamps, status, involved agents or users, and error information. Background plan execution logs include comprehensive step-by-step timing for Agent Lookup, Integration Fetch, Knowledge Search, Tool Setup, Attachment Processing, LLM Call, Tool Execution, and LLM Follow-up. You can filter logs by category and view detailed breakdowns for troubleshooting and compliance purposes.

How is my data protected?

We employ multiple layers of security: all data is encrypted in transit (TLS 1.3) and at rest (AES-256), each enterprise operates in a logically isolated tenant environment, and we maintain SOC 2 Type II compliance. Our infrastructure includes 24/7 monitoring, regular penetration testing, and automated threat detection systems.

Do you support Single Sign-On (SSO)?

SSO with SAML 2.0 and OpenID Connect is available on our Enterprise plan. This allows your team members to authenticate using your existing identity provider (Okta, Azure AD, Google Workspace, etc.), ensuring centralized access management and compliance with your organization's security policies.

Can I control what data AI agents access?

Yes, AImyOrg provides granular access controls for AI agents. Administrators can configure which knowledge bases, integrations, and data sources each agent can access. Role-based permissions ensure that agents only interact with data appropriate to their function and department, maintaining data governance and compliance.

Platform Management

What is the Super Admin Dashboard?

The Super Admin Dashboard is a commercial-grade web-based control center accessible at /admin-dashboard. It features a professional sidebar layout with 12 fully functional sections organized into three groups: Core (Dashboard, Enterprises, Users, Agents, Tasks), Platform (Billing, Support, Communications), and System (Observability, Configuration, Memory, WhatsApp). The dashboard provides complete platform oversight including KPI metrics, MRR tracking, support ticketing, and configuration management.

How does the support ticket system work?

The built-in support ticket system allows enterprises to submit support requests which are managed by platform administrators. Tickets include priority levels (low, medium, high, critical) and status tracking (open, in progress, resolved, closed). Each ticket supports threaded messages for back-and-forth communication between the enterprise and support team. Administrators can view, respond to, and manage all tickets from the Support section of the admin dashboard.

Can I send platform-wide announcements?

Yes, the Communications section in the admin dashboard lets you create and publish announcements. Each announcement can be categorized by type (info, warning, maintenance, or feature) and targeted to specific audiences: all users, admins only, or a specific enterprise. This is ideal for communicating maintenance windows, new feature releases, policy updates, and important platform-wide notifications.

How do I configure platform settings?

The Configuration section in the admin dashboard provides a key-value editor for managing platform-wide settings. Settings are organized into categories including AI (default model, max tokens, temperature), Billing (trial period, grace period), Email (from address, support email), General (platform name, maintenance mode, max file upload size), and WhatsApp (enabled status, rate limits). Changes take effect immediately across the platform.

How is enterprise feature management organized?

The super admin mobile interface consolidates all enterprise-level feature management under the Enterprises tab. From the enterprise details view, super admins can toggle WhatsApp, Agent Memory, and Communication Hub on or off, configure memory retention periods, set task reminder limits, view and manage enterprise users, and access user permissions (RBAC) by tapping any user. This streamlined approach eliminates the need to navigate to separate screens for each feature.

Communication Hub

What is the Communication Hub?

The Communication Hub is an intelligent messaging interface that passively logs all WhatsApp group and direct message conversations. It provides a centralized view of all communication threads across your enterprise, with AI-powered subject generation, channel filters (WhatsApp, Group, Internal), and searchable threads. The bot only responds in group chats when explicitly mentioned (@aimyorg, @bot, @ai). The feature must be enabled by an enterprise admin or super admin from the enterprise settings.

How do I enable the Communication Hub?

Enterprise admins can toggle the Communication Hub on or off from the admin settings. Super admins can also enable or disable it for any enterprise from the enterprise details view in the Enterprises tab. Once enabled, all WhatsApp conversations are automatically logged and organized into searchable threads.

Billing

What payment methods do you accept?

We accept all major credit cards (Visa, Mastercard, American Express) and support ACH bank transfers for annual subscriptions. Enterprise customers can also pay via purchase order and invoice. All payment processing is handled through PCI DSS-compliant providers.

Can I upgrade or downgrade my plan?

Yes, you can change your plan at any time from your account settings. Upgrades take effect immediately with prorated billing. Downgrades take effect at the start of your next billing cycle. When downgrading, features exclusive to your current plan will remain available until the end of the billing period.

What is your refund policy?

We offer a full refund within the first 14 days of any paid subscription. After the initial period, we do not provide refunds for partial months or unused time. Annual subscriptions include a 30-day money-back guarantee. Contact our billing team at billing@aimyorg.app for refund requests.
